These terms apply whenever you book or use a service with Growing Minds (Registration No. PG0587560-D) ("we," "us," "our"), including a Psychoeducational Assessment (Learning Profile), 1-to-1 Support, Early Intervention Support, Kindergarten Readiness Playgroup, or a Weekend Club. By booking, you agree to these terms on behalf of yourself and your child.
If your child is enrolled in a fixed-placement programme with regular weekly sessions (for example, our Enrichment Programme or an Individualized Education Programme), you'll also sign our full Programme Enrolment and Service Agreement at registration. That signed agreement sets out the complete, binding terms for your child's specific placement — the summary below reflects its key points so you know what to expect before you get there. Our services are provided to children under the consent and supervision of a parent or legal guardian. By booking, you confirm you are the child's parent or legal guardian, or have their authority to arrange this on the child's behalf, and that the information you provide is accurate to the best of your knowledge.
We provide educational-psychology-led assessment and skill-building support. We do not diagnose medical or psychiatric conditions such as ADHD or autism — that sits with paediatricians and doctors. We are not a tutoring service, and we are not a mental health or therapy service. Where a child's needs appear to fall outside our scope, we'll say so and help point you toward the right professional or service.
Programme recommendations are based on your child's needs, background, observation and, where applicable, assessment. For enrolled programmes, the session time reserved is held for your child for the agreed period — the fee secures ongoing placement and practitioner time, not just sessions attended. Activities, goals and support levels may be adjusted as your child progresses; any significant change to programme type, frequency, duration or fee is discussed with you first. We provide services with reasonable professional care and work toward your child's goals, but specific outcomes can't be guaranteed.
Fees for enrolled programmes are payable in full, in advance, for the entire programme block or term, by the stated due date, unless another schedule is agreed in writing. A registration fee of RM50 applies unless waived (for example, for an existing-client transition). After reasonable written reminders, we may suspend a programme until overdue payment is settled; fees already incurred remain payable. Fee changes are only applied to a future, not-yet-paid block or term — fees confirmed for a current one won't change unless both parties agree.
Please notify us as early as possible for any absence. Sessions are generally non-refundable, since your child's slot and practitioner time are reserved regardless of attendance. Replacement policy depends on the programme: our Enrichment Programme does not offer replacement sessions — a missed session is not made up or refunded. Our Individualized Education Programme (IEP) allows up to 2 replacement sessions per term for illness (at least 24 hours' notice where possible) or scheduled medical appointments (around 1–2 weeks' notice where possible), subject to practitioner and timetable availability. For both programmes, sessions falling on public holidays or scheduled closures already factored into the programme calendar are not eligible for replacement or refund. If we need to cancel a session for reasons within our control, we'll arrange a replacement, an alternative practitioner, or a programme credit, so your child doesn't lose a paid session.
For enrolled programmes, we ask for at least 4 weeks' written notice (by email or another official channel) to discontinue. Because programme fees are paid upfront to secure your child's placement for the full block or term, fees already paid are non-refundable — whether you withdraw with the required notice, with less notice, or partway through the period. If notice is given before a subsequent, not-yet-paid block or term begins, you won't be charged for it.
Please disclose information relevant to your child's safety and participation — medical conditions, allergies, medication, developmental or behavioural concerns, and any significant changes. A child with a contagious illness, significant fever, or similar shouldn't attend; if a child becomes unwell during a session, we'll contact you or an authorised caregiver for collection. At enrolment, we ask for emergency contact details and your consent for us to take reasonable steps to obtain emergency medical assistance if you and your listed emergency contacts can't be reached promptly — this may include contacting emergency services. Any medical, ambulance or hospital charges from third-party providers remain your responsibility.
We collect and hold information reasonably needed to provide and administer your child's programme, handled in line with applicable Malaysian data protection law and our Privacy Policy. Family information is confidential, and only disclosed where reasonably necessary for administration, with your consent, where legally required, or to address a serious safety concern.
We ask for your separate, explicit opt-in consent for each of the following, and you can say yes to some and no to others — declining any of them doesn't affect your child's enrolment or access to services:
You can withdraw consent for future use at any time by notifying us in writing — we'll stop new uses once we receive it, though material already printed, distributed or published beforehand may not always be fully recallable.
We may recommend changes to goals, programme type, frequency, duration, group or individual placement, or practitioner. Any change affecting your regular fee or weekly schedule is discussed and confirmed before it takes effect. We aim for continuity, but a specific practitioner or time slot isn't guaranteed indefinitely.
We encourage you to share relevant updates, join scheduled reviews, flag significant changes at home or school, and support recommended strategies. With your consent, we may liaise with your child's school, teacher, or other involved professionals.
We may review, suspend or end a programme on reasonable grounds — for example, materially outstanding fees, significant or repeated safety concerns, undisclosed safety-relevant information, the programme no longer suiting your child's needs, or significant risk to your child, others, or staff. We'll generally discuss concerns with you first and give reasonable notice, except where urgent health or safety action is needed. If termination isn't due to unpaid fees or a breach on your part, fees for the period after the termination date are refunded or credited.
We ask that everyone — children, parents and staff — treat one another with respect, and we reserve the right to end a session or working relationship if behaviour puts the safety or wellbeing of a child or staff member at risk.
Written reports, profiles and plans we prepare for your child are yours to keep and share (including with your child's school). The templates, methods and materials we use to produce them remain our intellectual property.
We provide our services with reasonable professional care, in line with recognised educational-psychology practice, and work toward your child's goals — but specific outcomes can't be guaranteed, since progress depends on many factors beyond our sessions alone. To the extent permitted by Malaysian law, our liability is limited to the fees paid for the specific service in question.
We may update these terms from time to time to reflect operational, professional or legal needs; the date at the top shows the latest revision. Material changes affecting fees, withdrawal obligations, or an existing financial commitment will be communicated in advance and normally take effect from your next programme block or term, unless otherwise agreed.
These terms are governed by the laws of Malaysia. Nothing here excludes or restricts any right that cannot lawfully be excluded under applicable Malaysian law.
